Most AV budgets go wrong in the first ten minutes, because the brief is agreed before the format is. A 600-guest awards night in a hotel ballroom and a 600-guest outdoor sangeet on a lawn share a headcount and almost nothing else: the lawn needs power, weather cover, a built stage and a noise plan, and costs materially more to deliver for the same guest experience. Price follows format, surface, access and hours on site — not guest count alone, and not venue prestige.
Equipment rental is usually only half of what you pay. The rest is engineers and crew at day rates, a second day for load-in, trucking and inter-state movement, three-phase distribution or a silent DG set, consumables like gaffer, cable and batteries, rigging and certified riggers, and crew accommodation if you are importing a team into a tier-2 city. Then 18 per cent GST sits on top of all of it, which is a large enough addition to break an approved budget if the quote was read as inclusive.
Timing is the other multiplier. India produces most of its events between October and March, and in that window inventory is genuinely scarce: the same LED panel, console or truss can be committed on three competing dates, and mid-November to mid-December wedding dates are the tightest of all. Quotes issued in the monsoon do not survive into the season. Treat any AV price as valid for the date it names and for a stated number of days, and re-confirm it in writing the moment the date is locked.
How to use these
- Fix the format before you read a single number: indoor or outdoor, number of functions, guest count, stage size, and how many hours you actually hold the venue.
- Build the budget in three bands rather than one figure — a workable version, a confident version and a hero version — so a trimmed scope is a decision rather than a disappointment.
- Normalise every quote to the same basis before comparing: exclusive of GST, same number of event days, same crew count, transport and accommodation stated either in or out.
- Ask for inventory to be named by make and model with quantities, not by category, and check the quantity of spares separately.
- Hold 10–12 per cent back as contingency; late content changes, an extra rehearsal day and an added function are the three most common overruns.
- Be honest about which product you are buying: a dedicated engineer with spares and redundancy is a different proposition from local equipment with a shared crew, and the two should never be compared on price alone.
