Every AV comparison comes down to a small set of physical constraints, and once you know yours the answer is usually obvious. Ambient light in the room at the hour your show runs. Throw distance, and how close the nearest seat is to the screen. Ceiling height and what the structure will carry. Room volume and reverberation. Whether the venue goes dark at all. Suppliers tend to argue about products; the honest comparison argues about the room, because the room decides. Identify your single binding constraint first and most of these pages answer themselves.

The better specification is frequently the wrong purchase. A P2.6 LED wall viewed from 30 ft spends money on pixels the human eye cannot resolve from the second row back, let alone the twentieth. A flown line array in a 400-guest ballroom will usually sound worse than four well-placed point-source boxes, and costs more in rigging and crew to achieve it. 4K streaming to an audience watching on phones over mobile data buys nothing but bandwidth risk. Overspecification is not a safe default; it is simply a different way to waste the budget.

Read each comparison for what the option fails at, and price the whole option rather than the headline rental. Projection is cheaper per square foot than LED and markedly more fragile: it needs controlled light, a clean throw path nobody walks through, and a plan for the 11 am session in a ballroom with glass on one wall. LED is brighter and more forgiving but adds weight, power and processing. Crew, rigging, trucking and power often move the real total by more than the equipment line does.

How to use these

  • Write down your binding constraint before reading — ambient light, ceiling height, nearest seat, noise curfew or budget ceiling — and judge the options against that one thing.
  • Compare at equal outcome rather than equal price: the question is what each option costs to deliver the same legibility, coverage or impact, not what each costs per unit.
  • Price the complete option including crew, rigging, power, trucking and the extra build day, because that is where the two choices usually diverge.
  • Ask each supplier what their recommended option fails at and under what conditions they would advise against it; the answer tells you how much to trust the rest of the quote.
  • Ask explicitly for the cheaper option specified properly for your show, so you are choosing between two good designs rather than a good one and a bad one.
  • Check reversibility — which choice can still be changed seven days out, and which locks trucking, rigging and permissions the moment it is confirmed.
