LED Screen Rental in Bengaluru
Nothing drives AV spend here like the global capability centres — the all-hands, the quarterly town hall, the engineering summit and the SaaS launch all run on calendars set in another time zone. Around that sit biotech and aerospace, a startup ecosystem that produces demo days and awards, and the exhibition business at BIEC. Prime AV Solutions supplies the LED screen rental behind those events — designed on paper, proven in rehearsal and run by our own crew.

Key takeaway
LED Screen Rental for Bengaluru’s biggest events
IMAG — image magnification — exists for one reason: so the person in row forty can read a face. The brief is visibility and legibility, not scenic design. Screen size comes from the furthest viewer: a usable rule is that text height on screen should be at least one fiftieth of the viewing distance for comfortable reading, which pushes side screens on a long ground to six metres wide and upward. Standard 16:9 formats are the right choice here, because content is a live camera cut and a presentation deck, both of which already live in that aspect and should never be letterboxed or stretched to fit a creative canvas.
IMAG lives or dies on sightlines, so balcony overhangs, lighting-rig positions and the shape of the seating decide where screens can hang and how many you need. In Bengaluru that plays out at venues like BIEC, Palace Grounds, Manpho Convention Centre, and across Whitefield, Koramangala, Indiranagar, Electronic City.
Delay screens handle depth. Beyond roughly 70 to 80 metres from the stage, a main screen is too small to read regardless of how bright it is, so we place additional screens down the audience on their own structures. These need their own power, their own signal path — usually fibre or a long-haul SDI run rather than copper HDMI — and a decision about whether to delay the video to match the delayed audio at that position. For speech-led events we generally keep video aligned to the audio arriving at that spot, because lip-sync error reads as a fault far faster than absolute latency does.

Local conditions
Producing LED screen rental in Bengaluru
Weather & the rig
An IMAG screen has to stay readable in whatever light the sky provides, so sun path across the actual show hours and the brightness specification are decided together. At 920m the temperature never forces amplifier derating, which removes a problem most Indian cities have — but it introduces two others. Pre-monsoon and retreating-monsoon evenings in April-May and September-October bring sharp convective storms with 60–70 km/h gusts that arrive inside twenty minutes, so outdoor truss here is engineered for wind, not for rain. And the overnight dew point drop on the plateau leaves consoles, LED faces and connector panels genuinely wet by 5am, which means covers on everything and a warm-up pass before a morning show. Jun–Oct, when both monsoons touch the city and October is the wettest month in the calendar; an open-ground show in that window needs a hard roof rather than a tarpaulin.
Power & redundancy
Delay and outdoor screen positions sit far from the main distribution, each needing its own stable feed, which usually means a satellite generator rather than a long cable run. BESCOM supply in the central business district is serviceable, but the tech parks at Whitefield and Electronic City run their own captive DG and UPS infrastructure regardless, so a town hall inside a campus auditorium is usually on cleaner power than the grid would give. Palace Grounds and every open venue are fully generated, with a synchronised pair of 200 kVA sets as a sensible floor, acoustically enclosed to satisfy KSPCB.
Permits & noise rules
Large outdoor screens draw attention from traffic and nearby residents, so siting, mounting and light spill typically need clearance alongside the event permission itself. BBMP issues ground and temporary-structure permission, the city police grant the amplified-sound and assembly licence through the jurisdictional DCP, and KSPCB's noise standards apply with the 10pm cut-off treated as a hard stop rather than a guideline. Drone work is unusually constrained for a city of this size: HAL airport sits inside the urban envelope alongside Kempegowda International, and the defence and research establishments around Jalahalli and Yelahanka add their own restrictions on top.
Load-in & access
Delay positions and mobile LED trucks need vehicle access deep into the audience area before the crowd arrives, which makes gate widths and ground conditions the real constraint. Heavy vehicles are restricted inside the Outer Ring Road during peak hours and multi-axles are kept off key corridors through the day, so a BIEC load-in means dispatching by 4am or losing three hours on Tumakuru Road. Metro construction barricading on ORR and around Hebbal has cut turning radii to the point where a 32-ft trailer cannot make some venue approaches at all. City hotels offer service lifts rather than docks, so cases are specified to fit a 1.2m opening.
Season & booking
Aero India at Yelahanka in odd-numbered Februaries removes essentially all AV inventory and rigging labour from the city for a fortnight. Mysuru Dasara in September-October pulls regional crew and trucks south, Kannada Rajyotsava on 1 November and the Bengaluru Tech Summit week book out conference inventory, and April-May IPL fixtures at Chinnaswamy close the central roads on match evenings. Peak demand runs Sep–Feb.
Crew & dispatch
Own Bengaluru base, which also serves as the dispatch point for Mysuru, Mangaluru, Coimbatore and Hubballi work. Load-in support covers MG Road, Yelahanka and the rest of the city.
What it costs here
Rates hold up well here because the buyers are MNC procurement teams who evaluate on specification, insurance cover and SLA rather than on the lowest quote, so a GCC conference carries a real premium over the regional average. What they demand in return is documentation: GST-clean invoicing, crew insurance, method statements and a named technical owner.
Local expectations
Corporate formality is the default. The run of show is locked a week out, teleprompter and confidence monitors are assumed rather than requested, APAC and EMEA dial-ins mean the stream and the record are deliverables with their own sign-off, and simultaneous interpretation turns up more often here than anywhere else in India outside Delhi. A Kannada welcome segment is expected at any public-facing event, and attendee experience teams will audit lectern mic levels and slide legibility from the back row.
Specification
LED Screen Rental: technical specification
| Specification | Detail |
|---|---|
| Typical pitch | P2.6 – P3.9 indoor IMAG, P4.8 – P10 outdoor and delay positions |
| Legibility rule | On-screen text height at least 1/50th of the furthest viewing distance |
| Standard formats | 16:9 at 1920 x 1080 or 3840 x 2160 native, avoiding non-standard canvases |
| Delay screen spacing | Additional positions beyond 70 – 80 m of audience depth |
| Outdoor brightness | 5,000 nits minimum for daylight, 7,500 nits in direct sun |
| Switching | Barco E2/E3, Roland or ATEM with scaling handled once at the switcher |
| Long-haul signal | Fibre or 12G-SDI to delay positions, never long copper HDMI |
| Lip-sync handling | Video delayed to match audio arrival at each screen position |
| Mobile LED | Trailer-mounted 15 – 40 sq m daylight screens, hydraulic deploy in under two hours |
The switching layer is what distinguishes a working IMAG setup from a wall with a camera plugged in. A video switcher takes camera inputs, presentation machines, playback and remote feeds, and produces a programme cut plus separate outputs for the screens, the stage confidence monitors and any stream. Scaling is handled once, cleanly, at the switcher rather than panel-side. For outdoor daylight, screens need 5,000 nits or more, and mobile LED trucks are often the fastest way to deliver a large daylight-bright surface on a site with no rigging and a short build window.

Venues
Where we work in Bengaluru
| Venue | Capacity | Production note |
|---|---|---|
| BIEC | Several lakh square feet across halls, each taking a few thousand seated | Clear height and drive-in access are excellent — a truck can reverse into the hall — but it sits around 25km out on Tumakuru Road, so crew transit and the shuttle plan consume more of the schedule than the build does. |
| Palace Grounds | 10,000-plus across Tripura Vasini and the adjoining grounds | Open ground with no usable house infrastructure: all power is generated, and the city police enforce the 10pm sound cut more literally here than at almost any other large Indian venue, so the run of show is designed backwards from it. |
| Manpho Convention Centre | Up to around 3,000 in the pillarless main hall | The hall itself is a genuinely usable column-free box, but the approach is off a permanently congested stretch of Outer Ring Road with a tight dock, so a 32-ft trailer has to be timed against the traffic rather than the call sheet. |
| Taj Yeshwantpur | Around 1,000 banquet across the ballroom | Hotel service-lift load-in with a height limit, so large LED cabinets and 3m truss have to be substituted or broken down before they reach the building. |
| Sheraton Grand Bengaluru Whitefield | Around 1,200 across the convention and ballroom space | Convenient for the Whitefield tech corridor, but the arrival road is one of the city's worst bottlenecks, so inbound trucks need a pre-dawn slot or they lose half a day. |

Risk control
What goes wrong, and how we stop it
What can go wrong
How we prevent it
- What can go wrong
IMAG video arrives before the delayed audio at a far position and lip-sync looks broken.
How we prevent itEach screen position gets its own video delay, measured against the audio arrival time at that exact spot during the build.
- What can go wrong
A long copper HDMI run to a delay screen works at build and drops out when the sun hits the cable.
How we prevent itAnything beyond about 20 m runs on fibre or 12G-SDI with a tested redundant path, and copper HDMI stays inside the rack.
- What can go wrong
The outdoor screen is unreadable by mid-afternoon because it was specified at indoor brightness.
How we prevent itDaylight positions are specified at 5,000 nits minimum, 7,500 in direct sun, and we check the sun path for the actual show hours at the survey stage.
- What can go wrong
The backup playback machine is a slide behind when the primary fails during a live cut.
How we prevent itMirrored machines are advanced together by the operator and tested with a live failover during rehearsal, not assumed to work.
Honest comparison
Is this the right choice for your event?
- One large centre screen instead of a side screen pairOur verdict
A centre screen is cheaper and simpler, and right when the content is a deck. For IMAG it fights the stage for attention and leaves the flanks with poor sightlines — side screens serve a wide audience better.
- Adding delay screens versus making the main screens biggerOur verdict
Bigger main screens help up to a point, then the limiting factor becomes angular size at distance. Past 70 to 80 metres a delay position is cheaper and far more effective than another two metres of main screen width.
- A mobile LED truck instead of a built screenOur verdict
For a short build window, a site with no rigging, or a one-day outdoor screening, the truck is faster and often cheaper all-in. Built screens win on size flexibility, positioning and on looking like part of a set.
