Key takeaway
3D Projection Mapping for Gandhinagar’s biggest events
Projection mapping starts with a survey, not a storyboard. We photogrammetry-scan or LiDAR-measure the surface — a façade, a stage set, a car, a cake — and build a 3D model that matches the real object within a few centimetres. The projectors are then positioned virtually against that model to check throw ratio, keystone, shadowing from balconies or trees, and whether any part of the surface falls outside the beam. Only once the projector positions are fixed does content production begin, because a mapped animation is authored against a specific camera position and cannot simply be moved later.
The surface is the instrument here — its material, reflectance, depth and the audience's viewing axis decide projector count, angles and whether the illusion reads at all. In Gandhinagar that plays out at venues like Mahatma Mandir, Helipad Exhibition Centre, Leela Gandhinagar, and across GIFT City, Infocity, Sector 21, Kudasan.
Brightness is the engineering constraint that decides the budget. Perceived image brightness depends on lumens, surface area, the reflectance of the material and the ambient light falling on it. Stone and painted plaster reflect perhaps 20 to 35 per cent of what hits them; dark stone far less. A heritage façade of 400 square metres with street lighting nearby can need 100,000 lumens or more in total, which is three or four stacked 30K-class laser projectors per angle. Laser phosphor sources are the standard now because they hold brightness and colour across a run, start instantly and tolerate the dust and heat of an outdoor build far better than lamps.

Local conditions
Producing 3D projection mapping in Gandhinagar
Weather & the rig
Mapping is defeated by air as much as by rain — haze, dust and humidity scatter the beam and soften a blend, so brightness headroom is specified against local conditions. Gandhinagar's gridded, tree-lined sectors sit on an open Sabarmati-side plain where Apr–Jun runs 42–44°C with a hot westerly and the fine Gujarat dust that gets into every fan filter within a day. The Jun–Sep monsoon is short but intense with the Sabarmati in spate. Dec–Jan is dry and pleasant at 10–28°C, which is precisely why Vibrant Gujarat and almost every government summit sits in January. Apr–Jun heat, which turns an outdoor build into a cooling-load problem; Jul–Sep monsoon for anything on the Helipad ground.
Power & redundancy
Stacked 30K-class projectors each draw several kilowatts continuously for the whole run, so projection needs a dedicated, stable, uninterrupted supply rather than a share of the event distribution. Among the most reliable urban supply anywhere in India — Gujarat's grid and the local distribution rarely drop, and Mahatma Mandir has substation-grade capacity. DG here is genuine N+1 redundancy for broadcast and VIP shows rather than the primary source, which changes the budget conversation materially against most tier-2 cities.
Permits & noise rules
Mapping a building means permission to light it, towers on public or heritage ground, and usually a negotiated blackout of nearby street lighting for the show window. Gandhinagar Municipal Corporation and the urban development authority for the civic file, the district SP for assembly and loudspeaker permission, and GPCB noise rules with the 10 pm outdoor limit. For anything at Mahatma Mandir or the Helipad the binding layer is state protocol: General Administration Department clearance, SPG or NSG advance where the Prime Minister or President attends, pre-vetted and police-verified crew lists, and sealed-venue timelines in which the rig goes in days early and nobody touches it afterwards. Gujarat's prohibition applies, so there is no bar programme. Ahmedabad airport is 20 km, putting much of the city in a controlled zone, and VIP movement triggers temporary no-fly orders at short notice.
Load-in & access
Projector towers, ballast and enclosures have to be placed on a precise viewing axis that is often a road or a public plaza, so access and closures drive the build plan. Ahmedabad is 25 km and 40 minutes, and all heavy gear, labour and trucking realistically comes from the Narol and Changodar yards. The sector grid has wide roads and no truck ban, and both Mahatma Mandir and the Helipad take a 40-ft container to the build position, which is rare at this tier. The real variable is security staging — during a summit, vehicle passes, sniffer checks and a single screened gate can turn a two-hour unload into eight, so the schedule has to assume it.
Season & booking
The Vibrant Gujarat Global Summit in January books out every hotel room in Gandhinagar and Ahmedabad and absorbs the regional AV inventory for a month. The national expos the Helipad hosts do the same on their own cycle. Navratri takes nine nights of garba across every sector plot and locks sound and lighting crews statewide, Uttarayan lands on 14 January, Rann Utsav pulls crew to Kutch from Nov–Feb, and the Diwali-to-Labh Pancham wedding cluster fills the autumn. Peak demand runs Oct–Feb.
Crew & dispatch
Own crew out of Ahmedabad, 40 minutes down the highway, with warehouse stock in the Narol and Changodar yards; summit-scale builds bring in additional inventory from Mumbai with a week in hand. Load-in support covers Sector 21, Kudasan and the rest of the city.
What it costs here
Two distinct markets. Government and summit work is tendered with heavy documentation, formal rate cards and long payment cycles, but the scale is large and it repeats. GIFT City corporate work pays metro rates for metro polish and judges on finish. The wedding market here is comparatively value-conscious and defers to Ahmedabad for the big-ticket builds.
Local expectations
Government protocol drives everything — seating hierarchy, the lamp-lighting and ribbon beats, accurate name boards for ministers and secretaries, Gujarati-first-then-English scripting, and a strong preference for lectern-and-podium formality over a loose stage. Dry-state events start and finish early. Garba needs an even low-level field across a circular floor, not a front-facing PA, and the sector plots each run their own committee.

On site, the work is warping, blending and masking. Each projector's output is warped onto the surface geometry using a media server — disguise, Pixera or Watchout — with overlap regions of 10 to 20 per cent soft-edge blended so no seam is visible. Masks cut the beam off windows, balconies and anything that must stay dark. Alignment is done at night with the actual content and takes hours, not minutes, and it must be re-checked if a projector is bumped or a tower settles. We lock projector positions with ballasted towers and mark every position so a knocked unit can be returned to alignment rather than re-mapped.

Venues
Where we work in Gandhinagar
| Venue | Capacity | Production note |
|---|---|---|
| Mahatma Mandir | Up to 15,000 across the main hall and exhibition halls | Genuinely large pillarless span with rigging provision, high-capacity power and drive-in exhibition halls — the constraint is not the building but the state machinery: booking, security and content clearance run through government, and VIP protocol can rewrite your schedule at a day's notice. |
| Helipad Exhibition Centre | 50,000-plus across the open exhibition ground | Bare ground opposite Mahatma Mandir on which everything is temporary — power, water, flooring and air-conditioning all come in from scratch, which is why expo builds here start weeks out and the civil programme matters as much as the AV one. |
| Leela Gandhinagar | Up to 1,200 across ballroom and pre-function | Attached to the convention complex, which gives the rare advantage of a direct link for crew and gear between hotel and hall; the ballroom's rigging is rated conservatively and heavy video goes onto ground support. |
| Pandit Deendayal Energy University auditorium | Roughly 1,200 fixed seats | The usable large institutional hall for academic conferences and convocations; campus approval chain, in-house technical processes, and gate logging that slows vehicle movement during term. |
| GIFT City tower conference floors | 150–600 depending on the floor | New-build corporate space with excellent services and clean power, but access is by passenger and service lifts in a high-rise with security screening at the podium — case dimensions and crew passes are the limiting factors, not the room. |

Risk control
What goes wrong, and how we stop it
What can go wrong
How we prevent it
- What can go wrong
Dust and heat in an outdoor enclosure cause thermal shutdown mid-show.
How we prevent itIP-rated enclosures with filtered forced-air cooling, filters changed daily on a multi-night run, and internal temperature logged during rehearsal.
- What can go wrong
Brightness is calculated from lumens alone and the dark stone façade swallows the image.
How we prevent itThe calculation includes measured surface reflectance, not an assumed figure, and a test projection on the actual material is done at survey wherever access allows.
- What can go wrong
The audience ends up standing off the designed viewing axis and the 3D illusion collapses.
How we prevent itThe viewing position is part of the design and is barricaded or seated on site, with content checked from the extreme left and right of the intended crowd area.
- What can go wrong
Street lighting or a neighbouring building's floodlights wash the façade and the show looks grey.
How we prevent itAmbient readings are taken at the show hour during the survey, and the blackout of specific street and site lights is negotiated and written into the permission before content is budgeted.
Honest comparison
Is this the right choice for your event?
- Architectural lighting instead of mappingOur verdict
For a façade that only needs to look beautiful, uplighting and colour washes cost a fraction, go up in a day and work in light rain. Mapping is for when the building has to perform rather than just glow.
- LED wall instead of projection mappingOur verdict
LED beats projection on brightness, on reliability and in any lit environment. But it cannot map onto an existing building, a car or a cake, and at 400 square metres of heritage façade it is simply unaffordable. If the surface is the story, map it; if you need a rectangle that works in daylight, use LED.
- Stock content instead of bespoke animationOur verdict
Stock loops and generative visuals genuinely work for ambient architectural washes and for leaner budgets. They cannot do a reveal, a narrative or anything that respects the building's actual architecture, because they are not authored to your geometry.
