Rudraksh Convention Centre — The Japan-funded international convention centre at Sigra is the only venue in the city built to an international conference standard, with modern AV infrastructure and a proper dock — which makes everything else in Varanasi look like the exception it is. Taj Ganges — The palace grounds carry heritage conditions on fixings and lighting, and the mature garden layout means fixture positions are negotiated around trees rather than drawn on a plan. Dashashwamedh Ghat — There is no vehicle access at all: every item is hand-carried down wet, uneven stone steps, power is cabled from a road-level point a long way back, and the river level determines how much usable ground exists in any given week. Namo Ghat — The newer ghat development has far better vehicle access and level platforms than the old ghats, which makes it the sensible choice when a ceremonial event needs a real rig rather than a hand-carried one. Swatantrata Bhavan, BHU — A large campus auditorium with university approvals, a vehicle gate process and house infrastructure that a visiting rig supplements rather than replaces.
Weather & season
The Ganga generates dense radiation fog from mid-December through January that sits on the ghats until mid-morning — it collapses projection throw, leaves cable ends and connector panels genuinely wet overnight, and turns a dawn aarti shoot into a lighting problem rather than a camera one. May and June reach 45°C on open stone with no shade. In the monsoon the river rises enough to submerge the lower ghat steps entirely, so the usable footprint changes season to season rather than year to year. Jul–Sep, when the Ganga is in spate and ghat-level production is simply not possible at any budget; Dec–Jan fog for projection-led designs.
Power & backup
UPPCL supply has improved with the Kashi Vishwanath corridor works but remains interruption-prone, so DG is the primary assumption. The ghats add a constraint no other city has: there is nowhere to site a generator at ghat level, so power is cabled from the nearest road-level point in a long protected run, and that single fact shapes the entire electrical design, the cable inventory and the crew number before anything else is decided. UPPCB acoustic norms apply.
Permits & noise rules
Varanasi Nagar Nigam handles ground and structure permission and the Police Commissionerate licenses loudspeakers and gatherings, with UPPCB's standards and the 10pm cut applying. Specific to this city, the Ganga Seva Nidhi and the ghat and temple committees hold the consent that actually governs anything at Dashashwamedh, working alongside the district administration — a municipal permission without the committee's agreement achieves nothing. ASI conditions apply at Sarnath and the protected monuments, and drone flying over the ghats and the Vishwanath corridor is restricted on security grounds well beyond the airport's airspace classification.
Load-in & access
The old city between Godowlia and the ghats is a lattice of lanes under two metres wide where nothing motorised larger than a two-wheeler passes, so a ghat event is staged at Godowlia or Sigra and then portered — the crew number is set by the carry, not by the rig. Rudraksh and the Cantonment hotels have normal truck access, and the Purvanchal Expressway brings Delhi within eleven to twelve hours.
Local expectations
The ghat aarti follows a fixed liturgical sequence and the production exists to serve it: microphones for the priests and the shehnai, lighting that reads on camera without blinding the devotees, and absolute avoidance of anything that intrudes on the ritual or the devotees' sightlines. Sanskrit and Bhojpuri announcements alongside Hindi. A pilgrim audience standing on wet stone makes crowd flow and handrail safety part of the AV plan, and the river's presence means every cable run is treated as a water risk by default.
