VIT Anna Auditorium — A genuinely large fixed-seat hall with in-house AV and a university technical team; the constraint is institutional rather than physical — campus security logging, a student-affairs approval chain, academic-calendar blackouts and an in-house-vendor preference all shape what an external supplier is allowed to touch. Hotel Darling Residency — Vellore's established business hotel on the Katpadi Road side, with a lift-only load-in and a modest banquet ceiling; the forecourt holds one vehicle at a time, so shuttling from a staging point is standard. Weather & season
Vellore sits in a rain-shadow basin ringed by the Javadi and Yelagiri hills and is one of Tamil Nadu's hottest towns — Apr–Jun regularly runs 40–43°C with a dry furnace wind, which is why the calendar is pushed into Nov–Feb. The northeast monsoon brings the Palar basin's rain in short violent bursts from Oct–Dec. Humidity is low by Tamil standards, which is genuinely kinder to gear, but it makes dust and static the things to manage instead. Apr–Jun dry extreme heat; Oct–Nov northeast-monsoon downpours on open ground.
Power & backup
TANGEDCO supply to the town and the Ranipet industrial belt is fair. Both CMC and VIT run their own substations and substantial DG farms because hospital and campus continuity demands it, which makes institutional venues the easy ones. The kalyana mandapams are the weak link, with sanctioned loads far below requirement, so DG sizing is routine practice here rather than contingency.
Permits & noise rules
Vellore Corporation for the licence and temporary structures, the district SP and city police for assembly and loudspeaker permission, and TNPCB noise rules with the 10 pm limit plus the Madras High Court's directions on amplified sound near hospitals — which in a town built around CMC is a mapped constraint across the Ida Scudder Road and Bagayam areas, not a formality. The ASI Chennai circle governs the Fort. VIT and CMC apply their own campus rules on top of everything civic. There is no airport here, so drone work is a local-police and crowd-safety conversation, with care taken around the hospital helipad.
Load-in & access
Vellore is one of the few tier-2 towns servable from two metros — Chennai is 140 km and 2.5–3 hours on NH-48, Bengaluru 210 km and 4 hours — and Katpadi junction handles rail parcel reliably. In town, Officers Line and Katpadi Road congestion and the Fort's narrow approach push load-ins into the 10 pm–6 am window, and VIT's campus has good internal roads but a gated, logged entry that slows a convoy to a crawl.
Local expectations
Tamil muhurat timings put many ceremonies in the 5–9 am window, so the ceremony and reception are separate builds on the same day. Nadaswaram and thavil need headroom rather than close miking at level. Medical conferences are judged on something unglamorous — slide legibility, lapel mic reliability and recording quality for CME credit — so projection and audio capture matter more than staging. Tamil-first scripting with English throughout the academic layer.
