Leela Ambience Gurugram — One of NCR's genuinely large column-free ballrooms, but the load-in runs through the shared Ambience mall service basement with a hard height restriction around 3.5 m and a slot-booked dock, so long truss and tall LED frames have to be specified to fit the ramp before they are ordered. Kingdom of Dreams — A purpose-built theatre with its own fly tower, counterweight system and in-house technical department — the advantage is real stage machinery, the constraint is that third-party rigging and any point load on the house grid is negotiated with their technical team rather than assumed. Taj City Centre — Golf Course Road property sized for mid-scale conferences and receptions; the ballroom's rigging points are limited and the ceiling trim is modest, so large video loads go on ground support and the lawn becomes the option for anything tall. Epicentre, Sector 44 — A civic arts venue with a proper proscenium and a technical team, useful for conferences and cultural programmes; stage depth and wing space are tight, and the booking calendar is managed as an arts venue, not a hotel. Weather & season
Two seasons dictate the design. Dec–Jan brings the Indo-Gangetic smog layer, which is not a nuisance here but a technical constraint — projection contrast collapses, haze effects become pointless, drone shows lose line of sight and shooting plates look grey. Apr–Jun runs to 45°C with Aravalli dust, and the pre-monsoon squalls that arrive in late May and June regularly flatten un-ballasted outdoor structures with twenty minutes' notice. Apr–Jun heat for anything outdoors; Jul–Aug waterlogging on the Golf Course Extension and NH-48 stretches; and Dec–Jan for any show whose core idea is projection, drone or long-throw video.
Power & backup
DHBVN supply is backed by near-universal hotel DG and a strong corporate UPS culture, so Gurugram is one of the few markets where clients themselves specify dual-source with automatic changeover and ask for a load-bank test before a broadcast show. Farmhouse venues are the opposite — DG-primary with two sets, a stabiliser ahead of processors, and a fuel plan that assumes nobody can leave the site mid-show.
Permits & noise rules
Municipal Corporation Gurugram for the licence and temporary-structure permission, the Gurugram Police Commissionerate for the event and loudspeaker licence, HSPCB noise rules with the 10 pm outdoor cut-off, and a Haryana Fire Service NOC for any temporary structure. Drone work is the hard one — much of north Gurugram sits inside IGI Airport's controlled airspace, so anything aerial needs DGCA Digital Sky authorisation and ATC coordination, and evening approvals are routinely refused. Corporate venues add their own layer: background-verified crew lists, NDA sign-off and sealed-room timelines for unreleased product.
Load-in & access
Daytime heavy-goods restrictions on NH-48 and MG Road push almost all tenting, truss and LED movement into the 11 pm–6 am window, and mall-attached venues load through shared basement docks on booked slots with low clearance. The distance from a Delhi warehouse is only 30–60 minutes, but Hero Honda Chowk and Rajiv Chowk can double that without warning, so call times are built with a buffer rather than an optimistic estimate.
Local expectations
Brand-guideline rigour is the defining expectation — exact Pantone matching on LED, logo safe areas respected, approved fonts and an artwork approval chain that runs through a marketing team and sometimes a global office. CXO addresses need teleprompter and a confidence monitor as standard, scripting is bilingual Hindi and English, cue sheets are written and rehearsed, and hybrid streaming is assumed rather than requested. On the wedding side, the expectation is Delhi-grade spectacle with a hard stop at the curfew.
